In fact, research suggests it\u2019s good for our health to leave email behind while on vacation. To fill the gap in service, we\u2019ve been trained to set up an \u201cout of office\u201d email.<\/p>\n\n\n\n<p>I\u2019ve seen HUNDREDS of out of office emails from financial advisors and, unfortunately, they\u2019re all the same.<\/p>\n\n\n\n<p>Here are a few examples from my inbox:<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/www.blueleaf.com\/wp-content\/uploads\/2025\/01\/OOO-example-1.png\" alt=\"\" class=\"wp-image-4076\"\/><\/figure><\/div>\n\n\n<p class=\"has-text-align-center\"><\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/www.blueleaf.com\/wp-content\/uploads\/2025\/01\/OOO-example-4.png\" alt=\" \" class=\"wp-image-4078\"\/><\/figure><\/div>\n\n\n<p class=\"has-text-align-center\"><\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/www.blueleaf.com\/wp-content\/uploads\/2025\/01\/OOO-example-5.png\" alt=\" \" class=\"wp-image-4077\"\/><\/figure><\/div>\n\n\n<p class=\"has-text-align-center\"><\/p>\n\n\n\n<p><span style=\"color: #000000;\"><strong><br><\/strong>Interesting&#8230; <\/span>As a financial advisor, you work very hard to develop client relationships and deliver exceptional service while you\u2019re IN the office, but then plop a thought-less message like this into their inboxes when you\u2019re out. Worst of all, there are typo&#8217;s in these emails!&nbsp;It&#8217;s a shame. Today we&#8217;re going to change that.<\/p>\n\n\n\n<p>You can write an out-of-office email that is helpful&nbsp;AND delights your clients. (<a href=\"https:\/\/twitter.com\/intent\/tweet?original_referer=http%3A%2F%2Fblog.blueleaf.com%2Fits-time-to-rethink-the-standard-out-of-office-email%2F&amp;text=You%20can%20write%20an%20out-of-office%20email%20that%20is%20helpful%20AND%20delights%20your%20clients.&amp;tw_p=tweetbutton&amp;url=http:\/\/bit.ly\/1cfZBT0\" target=\"_blank\" rel=\"noopener noreferrer\">Tweet this!<\/a>) With a little added thought, your next out of office email can serve as a simple, free, automated way to add value to your client relationships \u2013 even while you\u2019re gone.<\/p>\n\n\n\n<p>Here\u2019s how:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1) Don\u2019t be a robot.<\/h3>\n\n\n\n<p>Just because you\u2019re out of the office doesn\u2019t mean you\u2019ve turned into a robot. Be sure to speak like a human. If you simply avoid writing the standard template message (i.e. the emails from above), you\u2019ll basically have this one covered.<\/p>\n\n\n\n<p>Part of writing like a human is writing a <em>real<\/em> subject line. Most auto-response subject lines feel completely robotic and impersonal:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Out of Office AutoReply<\/li>\n\n\n\n<li>Automatic reply<\/li>\n\n\n\n<li>out of office &nbsp;(My personal favorite. No capitalization.)<\/li>\n\n\n\n<li>AUTO: I am out of the office<\/li>\n<\/ul>\n\n\n\n<p>Let\u2019s banish these. Instead, write a subject line like a human would.<\/p>\n\n\n\n\n\n\n\n<h3 class=\"wp-block-heading\">2) Share the necessary information, but in a creative way.<\/h3>\n\n\n\n<p>There are a few logistical details that are actually helpful to your clients. Here are the 2 things you should still say, with a creative \u201cspin\u201d for each.<\/p>\n\n\n\n<p><strong>a) When you\u2019ll be back.<\/strong><\/p>\n\n\n\n<p><span style=\"text-decoration: underline;\">Standard:<\/span> \u201cI\u2019ll respond when I return on November 2nd.\u201d<br><span style=\"text-decoration: underline;\">Spin:<\/span> \u201cI\u2019ll respond when I return on November 3rd.\u201d<\/p>\n\n\n\n<p>Tell them the day AFTER you return \u2013 It\u2019s all about managing expectations with this one. The chance that you\u2019ll reply to everyone on the day you get back is slim. If you\u2019re set to return on the 2nd, say you\u2019ll be back on the 3rd. Give yourself a full day to sift through your bank of emails and begin to reply. Plus, even if they\u2019re one of the few emails you respond to on the 2nd, they\u2019ll feel special for receiving early assistance. Awesome.<\/p>\n\n\n\n<p><strong>b) How to get help, if needed.<\/strong><\/p>\n\n\n\n<p><span style=\"text-decoration: underline;\">Standard:<\/span> \u201cShould you have specific needs that cannot wait for my return, please email assistant@companyname .com or call 617-555-1000 and my staff can help you.\u201d<br><span style=\"text-decoration: underline;\">Spin:<\/span> \u201cIf your email truly is urgent, please resend it to interruptyourvacation@companyname .com and I\u2019ll try to respond promptly.\u201d<\/p>\n\n\n\n<p>That\u2019s right \u2013 Set up an email account for \u2018interrupt your vacation\u2019 or &#8216;I need help now&#8217;. It encourages folks to ask themselves, \u201cIs my email important enough to interrupt their vacation?\u201d If so, they\u2019ll send. If not, they\u2019ll wait. It&#8217;s a brilliant idea used by venture capitalist&nbsp;<a href=\"http:\/\/www.feld.com\/wp\/archives\/2011\/08\/the-best-vacation-responder-ever.html\" target=\"_blank\" rel=\"noopener noreferrer\">Brad Feld<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3.) Demonstrate you care about them, even though you\u2019re away.<\/h3>\n\n\n\n<p>This is the most important change for your \u201cout of office\u201d email, and the one I&#8217;ve yet to see from an advisor. Instilling a sense of service despite the \u201csorry I\u2019m ignoring your email, dear client\u201d message is incredibly important and powerful.&nbsp;Share something that will entertain, inform and\/or delight the folks emailing you. I&#8217;d love to discuss it with you when I return.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">4.) Pose ANY question.<\/h3>\n\n\n\n<p>Asking a question in your auto-generated email is a simple trick to help your clients feel calm in your absence. It reminds them that you WILL return and you WILL speak with them again. What you ask is up to you. A few ideas:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Have you read an interesting book recently? My Kindle is getting dusty.<\/li>\n\n\n\n<li>Is there something in particular you&#8217;d like to discuss during our next meeting?<\/li>\n\n\n\n<li>Are you interested in building a holiday budget? I&#8217;m considering that for my next blog post.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Here&#8217;s an example, using all 4 tips:<\/h3>\n\n\n\n<p>Subject: A quick note &amp; open invitation&#8230;<\/p>\n\n\n\n<p>Hi &#8211;<\/p>\n\n\n\n<p>I&#8217;m currently away from the office, returning on Tuesday, Nov. 5th.
